Add them once on the setup sheet and they carry through to every invoice automatically.

A running ledger

Every invoice you've raised, in one place, no digging through your inbox to find one.

Built for
  • Sole traders and small businesses who want proper-looking invoices, fast.
  • Anyone currently invoicing from Word, or stuck in a free trial they don't want to pay for.
  • Spreadsheet people who'd rather see their own numbers than trust a black box.
  • Complete beginners, you don't need to know what a formula is to use it.
Not right now
  • VAT registered businesses. There's no VAT number field and no VAT line on the invoice.
  • Older Excel, or Excel for the web. It's only been tested on the newest version of Excel. Google Sheets isn't supported.
  • CIS subcontractors. A separate version for CIS deductions is on the way.
  • Bookkeeping. This tracks invoices and who owes you, it isn't a set of accounts.

You shouldn't need software just to send an invoice.

We think accounting software is often too much for the smallest businesses, too complex and too restrictive when what you actually need is somewhere to raise an invoice and know who's paid you.

We've argued that case before. This tool is that argument made concrete rather than just asserted: read why accounting software often isn't right for the smallest business owners →

For suiteSheets customers

Already with suiteSheets? This saves you even more time.

Payments are recorded on a cash basis, the same basis Making Tax Digital uses. That means when it's time to submit, you can copy the Payments sheet straight into your suiteSheets MTD template, no retyping figures, no double entry.

No new account and nothing to connect, it's a plain copy and paste between two spreadsheets. If you're not a suiteSheets customer yet, the invoice tool works exactly the same either way, this is simply a bonus for when your income crosses the Making Tax Digital threshold and you need to start submitting quarterly updates.

About the invoice tool

Yes. No email address, no account, no trial that runs out. Download it and it's yours.
Yes. Payments are recorded on a cash basis, the same basis Making Tax Digital uses, so you can copy the Payments sheet straight into your suiteSheets MTD template when a submission's due, no retyping figures by hand.
Yes, this page. It's a ready-made Excel spreadsheet that creates professional invoices, keeps a ledger of everything you've sent, and tracks payments, including part payments. Download it, add your business details, and it's yours to keep.
It hasn't been tested in Google Sheets, only in the newest version of Microsoft Excel. It may not display correctly elsewhere.
It's built and tested in the newest version of Microsoft Excel, which runs on both Mac and Windows. As long as you're on a current version of Excel, either works.
Yes. Add your logo and bank details once on the Settings sheet and they'll appear on every invoice you raise from then on, no need to add them each time.
Not currently. It's built for businesses that aren't VAT registered, there's no VAT number field or VAT line on the invoice.
Both. There's a company number field on the Settings sheet for limited companies, if you're a sole trader or unincorporated, just leave it blank.
Not yet. This version doesn't handle Construction Industry Scheme deductions. A separate version built for CIS subcontractors is on the way.
The tool does this for you. Every invoice's due date is set from the Ledger sheet, and the Aged Debtors report automatically sorts everything you're owed into buckets, not yet due, 1-30 days, 31-60, 61-90 and 90+, so you always know who's late and by how much.
It's a summary of everyone who owes you money, grouped by how overdue their payment is. It's the standard way small businesses keep on top of late payers, this tool builds one automatically from your Ledger and Payments sheets, no extra setup needed.
No fixed limit, add more rows to the Ledger, Line Items and Customers sheets as your business grows. It's built for the volumes a small business raises, if you're sending hundreds of invoices a month, dedicated invoicing software will serve you better.
No. It's a plain Excel file that lives on your computer, nothing is sent anywhere unless you choose to email an invoice or, if you're a suiteSheets customer, copy your Payments sheet into your MTD template yourself.
Download a fresh copy from this page rather than trying to fix the formulas. There's no harm done, your data lives in the Ledger and Payments sheets, not the formulas themselves.
Full instructions are built into the file. If you're still stuck, our Help Centre has more guides, or email contact@suitesheets.co.uk and a real person will help.
About this tool

suiteSheets free invoice tool is a free Microsoft Excel spreadsheet for UK sole traders and small businesses that are not VAT registered. It allows users to raise invoices, maintain a ledger of every invoice issued, record payments including part payments, and view an aged debtors report showing outstanding balances grouped by how overdue they are. The tool includes seven sheets: Settings, Customers, Line Items, Invoice, Payments, Ledger and Aged Debtors. The page includes real screenshots of each of these sheets.

The tool requires no account, no email address and no payment. It is a standard .xlsx file with no macros. It has been tested on the current version of Microsoft Excel; older versions, Excel for the web, and Google Sheets are not supported. The tool does not include VAT functionality and does not support Construction Industry Scheme (CIS) deductions. It is not a bookkeeping or accounting product.

Payments are recorded on a cash basis, the same basis used by Making Tax Digital (MTD) for Income Tax. Existing suiteSheets customers can copy the Payments sheet directly into their suiteSheets MTD bridging software template, avoiding manual re-entry of figures. This tool is published by suiteSheets, a separate product from the suiteSheets MTD bridging service.
